Terms and Conditions

Last updated: 20 October 2026

These Terms and Conditions explain how ShipMe365 works, what you pay when you accept an offer, and the responsibilities of customers and transport providers. Please read them before making a booking and keep a copy for your records.

1. Who operates ShipMe365

ShipMe365 is operated by ShipMe Ltd, company registration number 17502644 ("ShipMe365", "we", "us"). You can contact us at support@shipme365.com or through our Contact Us page. Include your request or booking number so that we can identify the relevant transaction.

A "customer" is someone requesting transport. A "transport provider" is the independent person or business offering to carry out the work. A "request" is a listing describing the goods and proposed collection and delivery arrangements.

2. Our role and the transport agreement

We provide an online platform where customers publish transport requests, transport providers submit offers, and the parties discuss and arrange a booking. ShipMe365 does not itself collect, carry, store or deliver your goods. The agreement to perform the transport service is between the customer and the selected transport provider.

The provider is responsible for carrying out the agreed transport service and for its staff, vehicles and subcontractors. Customers should check that the proposed service, insurance and any required licences meet their needs. An account or membership badge is not a guarantee of insurance, licensing or the outcome of a delivery. We remain responsible for our own platform service and for obligations that the law places on us.

3. Accounts and accurate information

You must be at least 18 and able to enter into the relevant agreement. If you act for a company or another person, you must have their authority. Keep your account and contact details accurate, protect your login details, and tell us promptly if you suspect unauthorised access.

Do not impersonate another person, operate fraudulent accounts, manipulate offers or interfere with other users' access. You are responsible for information and photographs submitted through your account.

4. Requests, offers and the agreed service

Customers must describe the goods and the work accurately, including quantities, dimensions and weight where relevant, access restrictions, stairs, parking, packing needs and the requested dates. Identify anything that needs specialist handling before accepting an offer. Do not list illegal goods or arrange a regulated or hazardous shipment unless the provider is qualified and the arrangement is lawful.

Transport providers must explain what their price includes, any service limitations and the collection and delivery arrangements. Their quoted amount must include applicable taxes and all known charges for the service they are offering. Additional work or charges require the customer's agreement; they must not be introduced simply because the booking has been accepted.

Review the listing, offer and discussion before accepting. Dates or time windows shown as requested or estimated are not a guaranteed appointment unless the parties expressly agree them. Changes affecting the scope, route or price should be agreed in writing and recorded in the conversation. A confirmed booking cannot be repriced unilaterally.

5. Prices, the platform deposit and the balance

The amount quoted by the transport provider is payable directly to that provider. The ShipMe365 platform deposit is added to that amount to produce the total price shown to the customer. The checkout displays the provider's amount, the deposit due online and the combined total before payment.

The current platform deposit is 20% of the provider's quoted amount, subject to a minimum of £10. For example, a provider quote of £100 produces a £20 platform deposit and a total customer price of £120. You pay £20 through ShipMe365 and arrange payment of the remaining £100 directly with the provider. Where the £10 minimum applies, the effective percentage may be higher than 20%.

Only the deposit shown at checkout is collected online by ShipMe365. It is the charge for the platform's booking service, not a payment that we hold to pass on to the provider. ShipMe365 does not hold the remaining transport price in escrow or pay it out to the provider. Agree the timing and method of that separate payment with the provider.

Payment is handled by the payment service displayed at checkout, subject to its applicable terms. A failed or incomplete payment does not confirm a booking. Do not assume a booking is confirmed until the platform shows successful payment. The invoice issued by ShipMe365 covers the platform deposit; obtain any invoice for the provider's transport service directly from that provider.

6. Booking confirmation and job sheets

Once payment succeeds, the selected parties can access the protected booking information needed to arrange the work. Check the full collection and delivery details, operational contacts and dates with each other before travel. The customer must provide complete and usable details.

A job sheet records the booking information supplied to the platform. It is not insurance, a guarantee of service or proof that collection or delivery has occurred. Tell the other party promptly about an error and contact us if a confirmed record needs correcting. Retain your confirmation, invoice and job sheet.

7. Public conversations and protected contact details

Offer prices and listing conversations can be read by other registered transport providers. This includes existing messages and messages exchanged after booking. Only the customer and the transport provider participating in a conversation can reply to it. Treat the conversation as a shared space, even after the deposit is paid.

Use the protected booking information for exact addresses and contact details. Do not post telephone numbers, email addresses, exact addresses, identifying business details or website links in conversations, or attempt to disguise them to bypass the filter. Do not upload unnecessary personal information in listing text or photographs.

Automated tools, including AI-based tools, check messages and may remove contact or identifying information. These tools can make mistakes and cannot guarantee that every disclosure will be detected. Contact us if a message has been filtered incorrectly or you see information that should not be public. Do not use the platform to evade the booking process or misrepresent an agreed price.

8. Cancellations, refunds and changes

If a booking cannot proceed, tell the other party promptly and contact us through Contact Us, quoting the request number, payment reference and the reason. A transport cancellation and a request concerning the ShipMe365 platform deposit are separate matters. Charges or refunds for money paid directly to the provider must be addressed with that provider, subject to your legal rights.

There is no automatic account-credit or self-service refund facility. We assess requests concerning the platform deposit according to the circumstances, the service supplied and any applicable consumer cancellation or refund rights. This does not mean that a deposit can never be refunded. A cancellation does not automatically generate a credit or determine the amount, if any, that may lawfully be retained.

Any mandatory rights to cancel, receive a refund or obtain a remedy remain in force. Accepting these Terms is not a blanket waiver of those rights. If you wish to exercise a statutory cancellation right, send us a clear statement identifying you and the booking and saying that you wish to cancel; you do not have to use a particular form. Payment-provider dispute and chargeback procedures remain available where applicable. We do not operate a separate binding dispute tribunal.

9. Problems with a transport service

For delays, loss, damage, non-attendance or disagreement about the work, contact the provider promptly and keep photographs, messages, receipts and other relevant evidence. Follow any lawful notification requirements under your agreement or applicable insurance.

You may also inform ShipMe365 so that we can review conduct on the platform and help identify the relevant records. Contacting us does not replace a claim to the provider or insurer and does not suspend a legal time limit. We do not promise a particular outcome or guarantee another user's obligations.

10. Fair use, content and account restrictions

Keep communications accurate and respectful. Do not submit unlawful, threatening, discriminatory, misleading or infringing content; distribute malware; scrape account information; or attempt to gain access to another user's account or protected booking information.

You retain ownership of material you submit and give us permission to host, display and process it as necessary to operate the listing, conversation and booking services. You must have the necessary rights to photographs and other content you upload.

We may remove inappropriate material or restrict an account where reasonably necessary to address misuse, security risks or legal obligations. Where appropriate, we will explain the reason and provide an opportunity to contact us about the decision. A restriction does not remove legal rights or automatically settle an existing booking or refund request.

11. Platform availability, maps and responsibility

We aim to keep the platform available, but maintenance, technical faults and third-party service interruptions may affect access or notifications. Keep your own copies of important booking records and verify operational arrangements directly with the selected provider.

Map previews and location or distance information are approximate guides. Public previews do not disclose a complete collection or delivery address. Providers must verify the actual route, vehicle suitability, access restrictions and travel conditions before performing the job.

Each party is responsible for its own obligations. We do not exclude responsibility that cannot lawfully be excluded, including liability for fraud, fraudulent misrepresentation or death or personal injury caused by negligence. These Terms do not remove a consumer's rights to services supplied with reasonable care and skill or other mandatory remedies.

12. Versions, records and contact

Before continuing to payment, you must actively accept the Terms and Conditions linked in checkout. We keep a record of the accepted text and version with the order, together with the acceptance time and account information. This acceptance is not consent to marketing.

We may update these Terms for future use of the platform. The version accepted for a booking is retained with that booking; an update does not retrospectively replace agreed terms or remove existing rights. If the terms change before you proceed to payment, you may be asked to read and accept the current version.

These Terms and the booking records are available in English. You can save or print this page using your browser. For questions, cancellation notices, complaints or account concerns, use Contact Us. Applicable mandatory law and your rights to bring a claim before a competent court are not restricted by these Terms.
